Job Description:
-Primarily responsible for phone system administration, including answering all incoming phone calls, directing calls to agents/staff, general voicemail operation and message forwarding, etc. -Manages constant front desk coverage in order to meet and greet visitors of NAI Isaac -Arranges appointments for office personnel, greeting, and seating meeting attendees upon their arrival to the office in a courteous and professional manner -Responsible for tracking employee/agent attendance for use in office/visitor screening -Receives and processes all incoming mail, per established protocols -Logs all incoming monies throughout the day per established procedure -Distributes incoming faxes to correct agents/staff; Sends faxes whenever necessary -Coordinates the management of managed property lease file system -Facilitates the tenant insurance process including tracking and documenting forms, expiration dates, renewals, etc. -Facilitates property insurance process including receiving and documenting policies, tracking expirations, and submitting monthly reports to accounting -Facilitates vendor registration and insurance process, such as ensuring registration packets are updated, tracking W-9s, and documenting property insurance policies -Performs other duties as assigned
Experience Required:
-One (1) year professional assistant experience preferred -Previous experience working in a professional office setting preferred -Previous experience using a multiline phone system preferred -Knowledge of standard professional office practices and procedures -Knowledge of grammatical standards and the ability to adhere to those standards -Possesses skills in operating various office equipment such as: copy machine, facsimile machine, postage machine, and telephone system -Ability to communicate, both verbally and in writing, with business contacts in a courteous and professional manner -Ability to organize, prioritize, and complete multiple projects in a detail-oriented manner -Attention to detail is essential with all tasks and responsibilities -Possesses solid computer skills, specifically Microsoft Excel and Word
